Start with the complete payment population
Review relevant expense, asset, advance, provision and party ledgers rather than relying only on a manually maintained deduction list. Year-end provisions, reimbursements and non-cash entries may also require attention.
Confirm applicability and master data
Document the basis for deduction or non-deduction, the relevant section and rate, and the timing used. Validate deductee names, PAN details and lower- or nil-deduction documentation before the statement is prepared.
Reconcile deductions and deposits
Match tax deducted in the books with challans and the amounts proposed in the quarterly statement. Short deduction, late deduction, delayed deposit and excess payment items should be identified separately.
Link challans deliberately
Challan balances and their allocation should remain explainable after filing. Avoid using a challan merely because an available balance appears on the portal without verifying the period, section and intended use.
Retain a review trail
Preserve the ledger population, exception list, challan reconciliation and final control totals. This makes corrections, certificates and future-period reviews substantially more reliable.
